What it does

One roof for the winery’s daily work.

SansarBay is a small ERP. CRM, inventory, account maintenance, reporting, and the wine stock sit in the same login, so you are not buying a different product for each job.

The boards

  • ClientsLead, prospect, quoted, customer. Drag the restaurant across when the relationship changes.
  • QuotesA quote stays on its own board until it becomes an invoice.
  • DispatchQueue, in process, on the water, arrived. The case moves. The invoice list is the backup.
  • Stock healthA board of what is short, what needs a reorder, and what is fine.

The release

  • AllocationsEntitled bottles against bottles used, for each account and each wine.
  • LibraryHold a vintage until its date, then release it.
  • DepletionRecord how many bottles an account sold through.
  • Price listsCellar, club, trade, or one account. Margin follows the vintage.
  • Sample poolTasting bottles off the shelf you sell. The cellar-door till sells the rest.
  • CatalogVintage, variety, region, barcode, and the bottle photo on the wine.

Files, not a live plug

Shopify sends a file in. Xero takes a file out.

A website order arrives as a spreadsheet you import. The books leave as a spreadsheet you import into Xero. Nobody signs SansarBay into those accounts.

Underneath

Invoices, credits, purchases, payments, and the shelf count. A mixed case on the invoice. Bottle, cork, and label can pack into a finished wine. You can bring in the opening wines, customers, prices, and counts.
